Setting Up Your Team in Kinetix Messaging: Departments, Roles, and Assignment Explained

But a unified inbox is only half the story — the other half is making sure the right person on your team actually handles each conversation.

That’s where Departments, the Messaging Agent role, and conversation assignment come in. Here’s how to set them up.

Step 1: Create Your Departments

Before assigning conversations to individual agents, it helps to organize your team into departments — think Support, Sales, or Billing.

Departments let you group agents by function, so conversations can eventually be routed or filtered by the type of request coming in, not just by who happens to be free. If you run a small team, even two departments (say, Sales and Support) can make a noticeable difference in how quickly the right person sees a message.

Step 2: Assign the Messaging Agent Role

Not everyone on your team needs full WordPress admin access just to answer customer messages — and honestly, most of the time you don’t want them to.

Kinetix Messaging includes a dedicated Messaging Agent role, built with exactly the permissions needed to work the inbox: viewing conversations, replying, and updating status — nothing more. Assign this role to support staff, and they get everything they need without touching the rest of your site.

Step 3: Map Agents to Departments

Once your departments and agent roles are set up, map each agent to the department(s) they belong to. An agent can belong to more than one — for example, someone handling both general support and billing questions.

This mapping is what makes assignment meaningful later: instead of guessing who should take a conversation, you can hand it to someone already aligned with that type of request.

Step 4: Assign Conversations as They Come In

With departments and roles in place, every incoming conversation — regardless of which of the nine channels it came from — can be manually assigned to a specific agent, or left unassigned until someone picks it up.

A few things worth knowing:

  • Assignment is manual and explicit. You (or a team lead) choose who owns a thread, rather than relying on automatic round-robin distribution.
  • Reassignment is seamless. If a conversation needs to move to a different agent — say, a sales inquiry that turns into a billing question — it can be reassigned without the customer needing to repeat their issue.
  • Nothing gets lost in the handoff. Full conversation history stays attached to the thread, so context travels with it.

Step 5: Track Status So Nothing Falls Through

Every conversation in Kinetix Messaging moves through a simple status workflow: open, pending, or resolved. Use this to keep a clear view of what still needs attention versus what’s been handled.

A quick habit worth building into your team’s routine: end each day by reviewing anything still marked “pending” — it’s the fastest way to catch a conversation that quietly stalled.
